Floor Almere (“Floor”, “we”, “us”) respects your privacy and handles your personal data with care. This privacy policy explains what data we collect, why we collect it, how long we keep it and what rights you have. It applies to our website, our services (workspaces, meeting rooms and event venues) and our communication via email, phone and WhatsApp.

1. Who we are

Floor Almere is a social and sustainable office building in the heart of Almere, the Netherlands. Floor Almere is the data controller for the processing of personal data described in this privacy policy.

2. What data we collect

Depending on how you interact with us, we process the following personal data:

  • Contact and enquiry forms (website): name, email address, phone number, company name and the content of your message or request.
  • Bookings and rentals: name, contact details, company details, booking details (date, space, number of people) and billing information.
  • WhatsApp Business: your phone number, your name (as displayed in WhatsApp) and the content of the messages you exchange with us.
  • Newsletter and brochure: name and email address when you download our brochure or sign up for updates.
  • Website usage: technical data such as IP address, browser type and page visits (see section 7).

3. Why we process your data

We use your personal data for the following purposes, based on the legal grounds of the GDPR (art. 6):

  • Handling your enquiry or request — performance of a contract or pre-contractual measures (art. 6(1)(b)).
  • Bookings, rental agreements and invoicing — performance of a contract and legal (tax) obligations (art. 6(1)(b) and (c)).
  • Communication via WhatsApp, email or phone — performance of a contract or our legitimate interest in responding to you quickly and properly (art. 6(1)(b) and (f)).
  • Newsletters and marketing — your consent (art. 6(1)(a)), which you can withdraw at any time.
  • Improving our website and services — our legitimate interest (art. 6(1)(f)).

We do not use your data for automated decision-making and we never sell your data to third parties.

4. WhatsApp Business messaging

For customer contact we use the WhatsApp Business Platform (a service of Meta Platforms Ireland Ltd.). This means:

  • We only send you messages via WhatsApp if you contacted us first or explicitly opted in.
  • You can opt out of WhatsApp messages at any time by replying “STOP” or by letting us know via hallo@flooralmere.nl.
  • Messages you send us via WhatsApp are processed in our customer system (see section 5) so we can answer your question and improve our services.
  • Your use of WhatsApp itself is also governed by the WhatsApp/Meta privacy policy: whatsapp.com/legal/privacy-policy-eea.

5. Who we share your data with

We only share your data with parties that help us deliver our services, and only to the extent necessary:

  • Base44 — the platform that runs our CRM, operations and messaging system. Base44 processes data solely on our behalf as a processor.
  • Meta Platforms (WhatsApp Business Platform) — for sending and receiving WhatsApp messages.
  • Vercel — hosting of our website.
  • Analytics and email service providers — where we use them (see section 7).

We enter into data processing agreements with our processors. Where data is processed outside the European Economic Area, we ensure appropriate safeguards, such as the European Commission's Standard Contractual Clauses (SCCs) and/or the EU-U.S. Data Privacy Framework.

We only disclose your data to other third parties if we are legally required to do so.

6. How long we keep your data

We do not keep your personal data longer than necessary:

  • Enquiries and contact requests: up to 2 years after last contact.
  • WhatsApp conversations: up to 2 years after last contact.
  • Booking and rental data: for the duration of the agreement and thereafter as legally required (invoicing data: 7 years under Dutch tax law).
  • Newsletter data: until you unsubscribe.

7. Cookies and analytics

Our website uses functional cookies that are necessary for the site to work properly. In addition, we may use privacy-friendly analytics to understand how our website is used (such as pages visited and traffic sources). Where possible, this data is anonymised. Where we use cookies that are not strictly necessary, we ask for your consent first.

8. Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. These include encrypted connections (HTTPS), restricted access to systems and careful selection of service providers.

9. Your rights

Under the GDPR you have the right to:

  • Access the personal data we process about you;
  • Rectification of inaccurate or incomplete data;
  • Erasure of your data (“right to be forgotten”);
  • Restriction of processing;
  • Data portability;
  • Object to processing based on legitimate interest;
  • Withdraw consent, without affecting prior processing.

To exercise any of these rights, email hallo@flooralmere.nl. We respond within 30 days. If you are unhappy with how we handle your data, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl).

10. Changes to this privacy policy

We may update this privacy policy from time to time, for example when our services or legislation change. The most current version is always available on this page. We will actively inform you of significant changes.
